Switching to The Bookie: what do you need?

Welcome to The Bookie! Once your subscription is active, we’ll take over your bookkeeping. To ensure a smooth transition, we need a few authorisations, documents and your current records.

Tax authorisation

Once you start your subscription, we’ll request authorisation from the Dutch Tax Authorities (Belastingdienst) to file your tax returns on your behalf. You’ll receive blue letters by post containing activation codes. Please send us a scan or photo of these codes. Important: send only the activation codes, not the cancellation codes. If your previous bookkeeper is still authorised, they must cancel their authorisation first.

What are the VIA and SBA authorisations from the Belastingdienst?

Required documents

1. Last year’s income tax return

We need a copy of your previous income tax return as a starting point for the next one. Note: this is not the same as the tax assessment you receive afterwards.

2. VAT returns for the current year

If you are liable for VAT, you usually file quarterly returns. Please send us PDFs of the VAT returns filed for this year, whether submitted by yourself or your previous bookkeeper.

3. Your current bookkeeping

Send us your bookkeeping for the current year, including invoices, receipts and other relevant documents. This helps us get a complete view of your financial situation.

Handover from your previous bookkeeper

If you're switching from another bookkeeper to The Bookie, your former bookkeeper is expected to cooperate with the handover at no extra cost. This includes providing access to your records and previous tax filings.

Please send the following email to your previous bookkeeper, and cc us at info@thebookie.nl:

Subject: Handover of administration to The Bookie

Dear [Bookkeeper's Name],

Thank you for your support over the past period. As my needs have changed, I am switching to The Bookie as my new bookkeeper as of [date]. They are cc’d for further communication.

Could you please share the following documents for the past year to facilitate the handover?

  • Trial balance
  • General ledger accounts
  • Fixed asset schedule (MVA)
  • Outstanding receivables
  • Outstanding payables
  • Breakdown of other balance sheet accounts (e.g., prepaid expenses, accrued liabilities)
